NEW Odometer Entry Process for EVs/PHEVs with Telematics Devices

Effective September 2023, this process has been rolled out to all vehicles with telematics devices. Please see the New Odometer Upload, Review, and Offset Process article for the most up to date information.
IMPORTANT! This is a new process for odometer entry. Please familiarize yourself with the following:
SFM is now capturing and recording electric miles driven. The electric miles are calculated with the Geotab telematics system. For EV (full battery electric vehicles), all miles driven are electric miles. For PHEV (plug-in hybrid electric vehicles), the electric miles are calculated by the Geotab device. These electric miles are uploaded into CARS via the Geotab odometer upload process each month. Because these calculations occur outside of CARS, the odometer entry for EV/PHEVs with telematics devices has been disabled in CARS. In the event a modification of the odometer for one of these vehicles is needed, communicate this information to the FAST team via the Odometer Offset sheet and SFM will update CARS, as needed.
Key Points:
- Agencies will no longer be able to enter or adjust any odometer entry in CARS for an EV/PHEV that has a telematics device; those without active devices will still need a manual odometer entry in CARS.
- These are noted in CARS with a body type ending in "E" (EVs) or "P" (PHEVs) and will also have a telematics serial number noted.
- The new process is outlined in the New Odometer Entry Webinar, specific sections are detailed below and the slides can be downloaded to follow along.
- Modifications to an odometer reading for these vehicles should be submitted following the Odometer Offset Process (The Offset sheet is updated after the odometers have been uploaded in CARS).
- Questions regarding odometer readings for these vehicles should be directed to the FAST Team, dpa_sfmtraining_support@state.co.us.
- Questions regarding typical billing related items should still be relayed to the Billing Team,dpa_sfmbilling@state.co.us.
- SFM is actively working to include the electric mileage in related reports in CARS. This statement will be updated once complete.
