Each month, after odometers are uploaded by State Fleet (SFM) from Geotab into CARS, an email is sent to Fleet Coordinators (FCs) requesting review of vehicles with telematics installed, but that did not upload odometers.

This can occur for multiple reasons, examples include, but are not limited to:

  • the device was recently installed

  • the device has not communicated recently

  • the vehicle is known to report incorrect odometers

  • the reading was unusually high or unusually low


The list of vehicles that FCs must review can be found on the Odometer Offset Master Sheet, using the filter link for the FC’s department as found below. This link is also available in the monthly email announcement, and can be bookmarked or shared out to delegates by FCs.


Fleet Coordinators are responsible for entering mileage into CARS for the vehicles that appear on this sheet. If the vehicle is an EV or PHEV, enter the mileage on the linked sheet and SFM will enter the mileage in CARS. In addition, vehicles that are highlighted are candidates for an odometer offset adjustment in MyGeotab. FCs should complete columns H through J so that SFM can apply the appropriate offset.
